Geolocation and visit check-in

Every visit is checked in by geolocation from the rep's position, compared with the customer's reference location. Out-of-zone visits are flagged to the supervisor, and management tracks the compliance of every team.

In short: reliable check-in without constant tracking. Position is only read at check-in and, if you wish, when an E-ADV presentation starts. Included in the Premium Plus plan.

Check-in rules that you set

Each laboratory sets check-in to match its field policy and internal obligations.

  • Tolerance radius around the customer's reference location, in metres
  • Automatic check-in when the day's report is opened, or manual
  • Location request disabled, requested or mandatory
  • Reference approval when a customer has no location yet
Out-of-zone policy

Tolerance radius: 150 m around the customer reference

Exceptions go to the supervisor

A pharmacy that has moved, a new practice without a location, GPS turned off: every case comes through with the distance and the rep's reason.

  • Exceptions to review, approved or rejected
  • Out of zone, new reference or visit without a position
  • Measured distance and reason entered by the rep
  • Approve a new reference in one click

Check-in compliance, rep by rep

Management sees on a single screen whether reported visits really took place on site, and where customer reference coverage still needs work.

  • Compliance rate and checked visits
  • Out-of-zone visits and unavailability rate
  • Customer reference coverage
  • Excused exceptions and visits not checked in, per rep

Reliable for management, acceptable to the field

Check-in is there to make visits reliable, not to monitor reps. Position is only read at specific moments, and every rule is visible to the team.

Occasional reading

At check-in and, if enabled, when an E-ADV presentation starts.

Configurable rules

Radius, automatic or manual mode, out-of-zone policy.

Right to explain

The rep explains a discrepancy; the supervisor decides.

Traceability

Every exception keeps its decision, its author and its date.

Questions about geolocation

Answers to the questions sales, promotion and marketing directors ask us most often.

Can't find your question?

Ask the Synapse team directly, on WhatsApp or during a demo.

How does visit check-in work in Synapse?

At check-in, Synapse reads the rep's position and compares it with the customer's reference location. If the distance is within the radius you set, the visit is checked in. Otherwise, it is classed as out of zone and handled according to your policy: recorded, flagged to the supervisor or blocking.

Is the rep geolocated all the time?

No. Position is read at specific moments: when a visit is checked in, when the day's report is opened in automatic mode, and when an E-ADV presentation starts if you enable it. For each use, the location request can be disabled, requested or mandatory.

What happens when a visit is out of zone?

Depending on the policy you choose: the visit is simply recorded, or it goes to the supervisor for review (the report can still be submitted), or the day's report can only be submitted with an explanation. The supervisor approves or rejects the exception.

What does the check-in compliance rate measure?

The share of visits correctly checked in over the period. Synapse also shows checked visits, out-of-zone visits, the unavailability rate, reference coverage, excused exceptions and visits not checked in, for each rep.
